Executive Assistant to the Chairman

Hiring position: EXECUTIVE ASSISTANT TO THE CHAIRMAN

We are seeking an Executive Assistant to the Chairman — a high-caliber, intelligent, confident, and professionally composed individual capable of providing deep and comprehensive support at the executive level.

This role requires agile thinking, strong multitasking ability, effective coordination across multiple stakeholders, and refined interpersonal skills. The selected candidate will accompany the Chairman in key management activities, workflow coordination, and various high-level external engagements of the organization.

I. JOB DESCRIPTION

1. Information Preparation – Analysis – Decision Support

  • Collect, consolidate, and analyze reports/documents/proposals; prepare complete data sets, dossiers, and executive briefs to help the Chairman quickly grasp key issues for decision-making.
  • Provide recommendations, directions, and solution options for critical matters.
  • Accurately communicate the Chairman’s instructions to relevant stakeholders; monitor, follow up, and supervise task execution progress and report back in a timely manner.

2. Work Management – Scheduling – Performance Coordination

  • Develop and manage an optimized working schedule; prepare all required documents and materials for meetings, working sessions, and business trips.
  • Prioritize tasks effectively, anticipate arising issues, and proactively propose handling approaches.
  • Control information flow, documentation, and deadlines to ensure all tasks are completed on time and to the required quality.

3. Delegated Representation

  • Attend meetings, record key action points, and communicate them accurately.
  • Represent the Chairman in working sessions with clients, regulatory bodies, corporations, and senior partners.
  • Maintain professional conduct, demeanor, and image in all activities.

4. Frequent Business Travel

  • Be ready for frequent business trips domestically and internationally.
  • Prepare logistics, schedules, and documents; coordinate with relevant parties during business trips.

II. CANDIDATE REQUIREMENTS

1. General Information

  • Languages:

Fluent Chinese (primary working language preferred)

Good English proficiency

  • Professional appearance, polished demeanor, and strong communication etiquette.

2. Education & Qualifications

  • Bachelor’s or Master’s degree in Economics, Finance, Banking, Commerce, or International Trade.
  • Preference for graduates from Banking Academy, Foreign Trade University, University of Commerce, etc.

3. Experience & Core Competencies

  • Minimum 3 years of experience in senior-level Executive Assistant roles (Chairman/CEO or equivalent).
  • Strong executive management capability: time management, task prioritization, workflow coordination.
  • Excellent analytical and synthesis skills.
  • Prefer candidates with knowledge of finance, investment, or multi-sector business operations.
  • Refined communication and interpersonal skills; poised and professional.
  • Logical thinking, fast execution, and ability to work at high intensity.
  • Absolute confidentiality, trustworthiness, discipline, and resilience.
  • High level of commitment, seriousness, decisiveness, and accountability.
