Executive Assistant to the Chairman

We are seeking an Executive Assistant to the Chairman — a high-caliber, intelligent, confident, and professionally composed individual capable of providing deep and comprehensive support at the executive level. This role requires agile thinking, strong multitasking ability, effective coordination across multiple stakeholders, and refined interpersonal skills. The selected candidate will accompany the Chairman in key management activities, workflow coordination, and various high-level external engagements of the organization.

I. JOB DESCRIPTION

1. Business Information Support & Executive Coordination

  • Collect, consolidate, and prepare business information, reports, proposals, and correspondence related to ongoing projects, partners, and business opportunities.
  • Summarize key points, issues, and action items to support the Chairman’s review and decision-making.
  • Translate, interpret, and relay information accurately between Chinese-speaking partners and internal stakeholders when required.
    Communicate the Chairman’s instructions clearly to relevant teams; follow up, track progress, and report updates in a timely manner.

2. Work Coordination & Schedule Management

  • Support the Chairman in managing daily schedules, meetings, business trips, and external working sessions.
  • Prepare meeting materials, agendas, briefing notes, and follow-up documentation.
  • Assist in prioritizing tasks, monitoring deadlines, and ensuring smooth coordination across departments.
  • Anticipate potential issues in workflow or communication and proactively propose solutions.

3. Business Representation & Meeting Support

  • Attend meetings as assigned; take meeting minutes, track action items, and coordinate follow-up actions.
  • Support or accompany the Chairman in meetings with business partners, clients, suppliers, or Chinese-speaking counterparts.
  • Maintain professional conduct, communication etiquette, and a positive corporate image in all interactions.

4. Business Travel Support

  • Be available for frequent domestic and international business trips.
  • Prepare travel plans, schedules, documentation, and coordination with partners and internal teams during trips.

II. CANDIDATE REQUIREMENTS

1. Language & Communication

  • Fluent Chinese (Mandarin) – strong speaking, listening, and professional communication skills (mandatory).
  • Good English proficiency for basic business communication and documentation.
  • Clear, confident communication style; professional appearance and demeanor.

2. Education

  • Bachelor’s degree in Business Administration, Economics, Finance, Banking, International Trade, or related fields.
  • Candidates from Foreign Trade University, Banking Academy, University of Commerce, or similar institutions are an advantage.

3. Experience & Profile Fit

  • At least 1 year of experience in Sales, Business Development, Client Management, or similar commercial roles, preferably involving international or Chinese-speaking partners.
  • Prior experience as an executive assistant or coordinator is an advantage but not mandatory.
  • Strong business mindset: understands commercial objectives, partner relationships, and deal-related workflows.
  • Good organizational skills, task prioritization, and ability to handle multiple assignments simultaneously.
  • Quick learner, adaptable, and comfortable working in a fast-paced, high-pressure executive environment.
  • High level of integrity, confidentiality, responsibility, and professionalism.
  • Willingness to commit long-term and grow into a senior executive support role.
